Forensics suite configuration

The following are additional aspects of the Forensics module that must be configured.

Agency

Agencies may be considered to be parent entities for subsequent cases that are logged into the system for testing. Therefore, prior to the processing of case work the submitting agency must be defined in this area. This section allows the system to provide a hierarchical relationship between cases and their submitting agencies. A one time definition in this area allows the laboratory to receive an unlimited number of submissions over time without having to constantly re-enter the same data.

From the Agency List the user is shown the list of all agencies currently defined in the system. The user sees the agency name, agency type, and agency number. The user may select an existing agency by clicking on the hyperlinked agency name in order to view the details and contacts associated with that agency. Should it be necessary to create a new agency, the user may select the New button which will cause the system to redirect the display to the Agency Add/Edit screen:

There are two areas associated with the Agency Add/Edit screen, explained below.

Agency Details area

The information on this screen includes the main addressing and general contact information for the agency:

The laboratory does work for many local, county, state, and federal agencies. Each would be defined once in this area for the purposes of reducing the data entry required when a case submission is provided to the lab. Using this, the receipt personnel may simply select the agency and have the system link the new submission to the agency.

Special Notes: Any changes to this agency information will impact all submissions made previously under the respective agency.


Agency Contacts area

The bottom portion of the Agency Add/Edit screen displays the contact(s) that are associated with the agency. (Note: This list is initially hidden when the user selects the New action; when the initial agency information has been entered, it appears.)

Agency contacts contain the contact communication information that is used for report and system communications. In addition, it allows users to refer to this area in order to determine what methods are available for communication to those users. The primary purpose for the agency contacts is to allow for a one-time contact definition for an agency. This information may be used for submissions made to the laboratory for specific cases. The information associated with the contact may be used for report distribution.

From the Contacts screen the user is shown the details associated with the selected contact (or a blank screen for a new agency contact definition). The information on this screen includes the contact communication information as well as a flag for indicating whether or not the contact is the primary contact for that agency:

File class

File Classes are a means to classify received cases in the system. Once defined at this level users will be able to select from this list at the time of initial case receipt and for future queries or sorting purposes, as well as for reporting purposes.

From the File Class List the user sees the current list of file classes defined in the system. The user is shown the file class number, file class name, and associated offense:

The user may select an existing file class record by clicking on the File Class Number field to edit or see the details for that record or select the New button in order to create a new value:
